How to Connect Odoo to ShipStation A Step-by-Step Setup Guide

This guide walks you through connecting Odoo to ShipStation using the Zehntech Odoo ShipStation Connector — from generating your API credentials in ShipStation to your first automated order push and tracking import. Most setups take under 10 minutes.

Prerequisites

Before you begin:

  • Odoo version: v17, v18 or v19 (Online, Odoo.sh or On-Premise)
  • Active ShipStation account with API access enabled (available on all ShipStation plans)
  • Required Odoo modules (all standard): Contacts, Inventory (stock), Manufacturing (mrp), Sales (sale_management), Discuss (mail), Invoicing (account)

If any required Odoo module is not installed, go to Apps → search the module name → Install before proceeding.

Step 1 — Generate ShipStation API Credentials

  1. Log into your ShipStation account
  2. Click Settings (gear icon, top right)
  3. Go to Account → API Settings
  4. Click Generate New API Key
  5. Copy both the API Key and the API Secret — you need both for Step 3

Important: These credentials authenticate your Odoo instance with ShipStation. Store them securely. If you need to regenerate them, return to the same ShipStation settings screen.

Step 2 — Install the Zehntech ShipStation Connector

  1. In Odoo, go to Apps
  2. Search: zehntech_shipstation_connector
  3. Click Install

Installation takes under 1 minute. No restart required.

Step 3 — Enter ShipStation Credentials in Odoo

  1. In Odoo, go to Settings → Technical → ShipStation Connector (or search “ShipStation” in Settings)
  2. Enter your API Key in the API Key field
  3. Enter your API Secret in the API Secret field
  4. Click Save & Test Connection
  5. A green confirmation appears — “Connected to ShipStation”

If you see an error at this step:

  • Verify both API Key and API Secret were copied without spaces
  • Confirm your ShipStation account is active and not suspended
  • Check that API access is enabled on your ShipStation plan

Step 4 — Configure Order Sync Rules

Order sync rules determine which Odoo sales orders are pushed to ShipStation and when.

  1. Go to Settings → ShipStation Connector → Order Sync
  2. Set Trigger: when orders sync to ShipStation:
    • On Confirmation — orders push when the Odoo sale order is confirmed (recommended for most teams)
    • On Delivery Validation — orders push when the delivery order is validated in Odoo
  3. Set Order filters (optional): restrict sync to specific:
    • Sales teams or salespeople
    • Delivery carriers
    • Product categories
    • Warehouses
  4. Save

Step 5 — Configure Tracking Import Rules

Tracking import rules determine when ShipStation tracking numbers are pulled back into Odoo.

  1. Go to Settings → ShipStation Connector → Tracking Import
  2. Set Import trigger: when tracking imports to Odoo:
    • Real-time — tracking imports immediately when ShipStation marks the order as shipped (recommended)
    • Scheduled — tracking imports on a defined schedule (hourly, every 4 hours)
  3. Set Update behavior: what happens in Odoo when tracking is imported:
    • Update delivery record tracking number
    • Update delivery status to “Shipped”
    • Trigger customer email notification (if configured in Odoo)
  4. Save

Step 6 — Configure Carrier Mapping

Carrier mapping links ShipStation carrier names to Odoo carrier records — ensuring the correct carrier appears in Odoo delivery records after tracking import.

  1. Go to Settings → ShipStation Connector → Carrier Mapping
  2. For each ShipStation carrier you use (UPS, FedEx, USPS, DHL), select the matching Odoo delivery carrier
  3. Save

If a carrier is not in your Odoo list, create it in Inventory → Configuration → Delivery Methods first, then return to carrier mapping.

Step 7 — Test with a Sales Order

  1. Create or confirm a test sales order in Odoo
  2. The order should appear in ShipStation within seconds — check your ShipStation dashboard → Orders
  3. In ShipStation, create a test shipment for that order (you can void it afterward)
  4. In Odoo, open the delivery order — the tracking number and carrier should appear automatically

If the order doesn’t appear in ShipStation: Check the order sync rules — verify the test order meets all filter criteria. Check Settings → ShipStation Connector → Sync Log for error details.

If tracking doesn’t appear in Odoo: Verify the import trigger is set to Real-time. Check the tracking import log in connector settings.

Multi-Warehouse Setup

For teams with multiple warehouses:

  1. Go to Settings → ShipStation Connector → Warehouse Mapping
  2. Map each Odoo warehouse to the corresponding ShipStation warehouse
  3. Orders from each Odoo warehouse will route to the correct ShipStation warehouse for fulfillment
